Duma Works is recruiting a HR Assistant for one of our clients. The company is one of the largest insurance companies in East Africa.

Main Purpose of the Job

Ensuring administration of Human Resource service.

Prompt delivery in recruitment, induction, on-boarding, separation and maintenance of data base.

Main Responsibilities

1.       HELB – prepare PCA for deduction and updating on new employees

2.       Exit Management – Drafting of Acceptance letters and advise to payroll

3.       Staff clearance management

4.       Prompt staff confirmations

5.       Payroll advise on exits

6.       Exit data collection weekly and monthly reports

7.       Overtime schedules for Union staff

8.       Departmental mail management

9.       Staff correspondence, recommendation letters

10.    Employee rewards, Employee of the Month, customer service award

11.    CRM management- SMS platform

12.    AKDN liaison person

13.    Monthly Promotion and New appointment adverts drafting

14.    Staff confirmation and Reference check follow up

15.    Medical Cards issuing and medical changes instructions from staff to Medical department

16.    Perform all other tasks related to HR function areas of responsibilities as allocated

17.    Management and support for the HRMIS

18.    Leave monitoring and management

19.    HR payment processing

20.    Drafting of HR reports, monthly report, gender count report, weekly action point reports

21.    Prompt Town Hall and departmental meeting facilitation

22.    Employee Wellness initiative

23.    Staff induction and On-boarding process support

24.    Pre-retirement training facilitation

25.    Training Support

26.    Recruitment Support

27.    Staff ID processing and issue

28.    Perform all other tasks related to HR function areas of responsibilities as allocated

Academic  Qualifications

  1. Graduate from  recognized university
  2. Higher Diploma in  HRM
  3. Proficient in the use of Microsoft Office suite and package
