Set up initially as Zoo Check in 1984 by Bill Travers, Virginia McKenna and their son Will Travers, Born Free has worked tirelessly for nearly 37 years to prevent captive animal suffering and phase-out zoos. Will continues to lead the organisation as Executive President, and Virginia remains active on the Board of Trustees, working closely with the team to share our vision and programmes on public forums.

Description of the role:

The Administration Officer will act as the point of contact for all employees, providing administrative and logistics support, and managing their queries. Main duties include managing office inventory and logistics including allocation of vehicles and equipment, preparing regular reports (e.g., expenses, vehicles usage, and inventory) and organizing filing system.

Duties and Responsibilities

  1. Exercises managerial and supervisory control over all logistics support required of Meru office e.g., allocation of vehicles, equipment, etc.
  2. Develops, prepares, coordinates, and monitors overall support plans including demand forecasting, supply schedules, priorities or requirements, and resolution of urgent operational needs.
  3. Assists implementation of policy and procedures for logistics support in Meru office
  4. Ensure functionality of necessary office equipment, and requisitioning new equipment and supplies as needed
  5. Responsible for supervising and accounting for an inventory
  6. Office imprest management of Meru office
  7. Handle basic HR issues
  8. Prepare regular reports on expenses, and logistics e.g., vehicle usage
  9. Organize a filing system for company documents in Meru office
  10. Distribute and store correspondence of Meru office (e.g., letters, emails, and packages)
  11. Briefs Finance Manager on a weekly basis on the ongoing operation/requests
  12. Arrange travel and accommodation of Meru office staff
  13. Performs other related duties as required

  • Meru Education Project, Saving Meru Giants Project, and Pride of Meru Project
  • Finance and Administration Department in Nairobi

Requirements

  • Proven work experience as an Administrative Officer, Logistics Officer, or similar role
  • Solid knowledge of office procedures and logistics
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills
  • Attention to detail
  • A degree in Administration or Logistics; additional qualifications in Office Administration or Logistics are a plus
  • Proven experience being able to handle multiple tasks at the same time
  • At least 3 years of experience
  • Comfortable working independently when needed, or as part of a team
  • Preferably from the local community
